i have a customer who has just let me know that they are missing a part from
their order,no problem these things happen, but the order was over 5 months ago
and was for only 6 parts and i do not have the part in my stock!!
at what point would you consider it to be unreasonable to query or refund an
order

any feedback appreciated..

(IANAL, not a seller either…)

I’d say that, legally, you don’t have any obligation any more.
Commercially, refunding the part would be an act of good will.
Going further (refunding more or procuring the part elsewhere) would be extraordinary.

Depending on the price of the part, as a buyer, I’d expect nothing (and probably
not message the seller after so long) or the refund of the part.

It is way outside reasonable. I would put in your terms about missing part notifications
( If you do not already have this) -personally I ask for buyers to notify me
about problems within 5 days of delivery . However if the part is relatively
small and you want to give a refund ( reasonable) , you can do so .Otherwise,
if the buyer used Paypal, they can file a claim within 180 days of purchase so
it kind of depends on how long it's been. If this were me, I'd ask them
why the long delay in letting you know, that you don't have the part and
what are they expecting? It is kind of bizarre in my opinion - if this were
me, I'd give a small refund and then add them to my stop buyer list.
