I always check the existing inventory when I upload used items with BrickStore.
I am in the process of this right now and have found a large discrepancy with
some items. I have the files I used to verify when the last time these items
where put in my store (with these it has been several years). None of these
items appear in any stock room.

The first pic is the tub of items I "thought" I had listed in my store. The
second pic is the items that were ACTUALLY for sale. That is just wrong!

The third pic is items I "thought" were already for sale...NONE of them were
listed. That pic is of the entire lot of used cylinders of that part number
and they were sitting in my inventory with me thinking they were for sale.

Why is BL loosing my inventory and I have no way to see why it is happening.
This is serious for me and everyone should be concerned too. WE NEED INVENTORY
TRACKING TOOLS!

Last month I sold a minifig (the only item in the order) that I couldn't
find. I found the file where I had uploaded it and could only think that it
had already sold. I had to inform the buyer that I couldn't find it and
we agreed to cancel the order. When I canceled the order I chose to NOT return
the items to inventory. Two weeks later another buyer bought the fig. I couldn't
figure out how it got back in my inventory again! Looking at lot numbers I found
the it was added to my inventory on the day that I canceled the last order.

This is a common occurrence. I remember it happening to an item back in 2004.
My store was small and I remembered selling the item that someone else was now
trying to buy. It's been happening since the beginning of BL.

There have a been a few thoughts of mine where the error occurs.

1. Brickstock. At first the complaints were all from users that used Brickstock.
However, I have since seen users that use Brickstock say they don't have
problems while others that don't use brickstock have been having similar
issues.

2. Part-out feature. I personally never use the part-out feature but I know most
sellers do. However, with your case it does not sound like you used that feature
with these error listings.

3. My current guess is something to do with the uploading of bricklink. Such
as uploading a file to BL to update the inventory, and perhaps also in regards
to uploading items through part-out and cancelled orders where it's all automatic.
Of course I have no idea if those all use similar functionality so I could be
way off base here.

At first I thought these complaints were just from people with poor inventory
management who were trying to point the blame at BL as I have never had any issues.
But there have been so many over the past year and from reputable sellers too
that it something does seem to be messed up. Though I personally have not been
able to figure out with my little knowledge as to what is causing the error and
why some people get it and some don't.

But I do agree with you 200% that we need inventory tracking. It would seriously
help both sellers and BL owners know what the issue it.

if you do an upload against a lot that involves a pending order ? The way I was
doing it (delete then add) would certainly protect against pending orders (because

all the lots intended to be deleted are matching to the quantities on the system.

I think that is a good way to do it. The upload to update (+1) is not foolproof.
I am using that but only if my store is closed and no orders can be placed.

The core BL system has been built 20 years ago with just a few members as a transactional
database system. However with thousands of users that doesn't work 100% correctly
and other methods are needed. I am not surprises errors like the ones mentioned
occur. Every now and then these problems pop up.

Check, upload and check again. I also have no idea how the system behaves if
there are pending orders.

Check, upload and check again. I also have no idea how the system behaves if

Pending orders have already removed those inventory items in order to make up
the order, so the lot is eliminated or quantity reduced. The only time a pending
order affects inventory is if a seller performs a stock-check of items that appear
in a pending order that has not been picked from storage and they re-add that
item.

Retain Lots is a feature that, when used, can cause new inventory upload items
to be moved directly to Stockroom. If this is not done carefully, a seller can
end up with tons of inventory hidden in Stockroom unintentionally.

Of course it is human error, but that human error apply equally to the ones writing/written
the software behind this website too. There is no doubt it has lots of bugs and
some may pop up only under special circumstances. Just like any other software,
some users are affected by certain bugs while others are not.

Tracking tools would no doubt help a lot. But they would have bugs of their own
too.

I fully agree that we need Inventory tracking tools. I personally have not had
problems with my inventory on this site. But, I believe it would help any sellers
that are finding discrepancies to troubleshoot and correct problems. If the problems
were or weren't caused by BL, or some site time-out, or some third-party
software... if we had these tools, we would know. Right now, all we can do is
blame ourselves or blame BL.

Agreed. I check my inventory on the items that are purchased at the picking
of the order, for both new and used items. I find a lot of small discrepancies
almost everyday. But this one was really egregious. Makes me wonder how much
of my physical items are not for sale. I don't have the time to do a complete
inventory count.

Sometimes, with the used parts, I will upload a few less items in a lot. So if
my count is off or I find something with more damage not fit to sell, I have
got it covered.

With the new parts, I have sets waiting to be parted out and can pull from that
if I'm short something. Luckily this doesn't happen very often.
